Applicants are requested to carefully read the following guidelines and prepare and submit their application materials in accordance with the requirements to ensure the ethical compliance of their research experiments.
To ensure ethical compliance in research experiments, researchers applying to use the laboratories of the Institute of Linguistic Sciences must follow the ethical review application process outlined below:
1. Download and complete the application form
Applicants (principal investigators) seeking review must download the “Ethics Review Approval Form” from the official website of the Institute of Linguistic Sciences at Shanghai International Studies University (https://ilas.shisu.edu.cn/sysjs/list.htm).
Carefully and accurately complete the application form according to the requirements listed therein.
2. Review and Signature by the Principal Investigator
The completed application form must be thoroughly reviewed by the principal investigator(typically the supervisor or project leader) and signed for confirmation.
3. Submission of the Self-Check Form and Application Form
Please first self-check the application form to ensure it has been completed in accordance with regulations, and fill out the self-check form.
By the 15th of each month, submit the signed application form and self-check form via email to the Ethics Committee Assistant at the Institute of Linguistic Sciences (Email: 2019373@shisu.edu.cn).
The assistant will compile the submitted forms, organize them, and submit them to the Ethics Committee Secretary, who will then forward them to the Ethics Committee.
Members of the Ethics Committee will review the research proposal in accordance with the bylaws to determine whether there are any ethical issues and will make a decision.
If revisions are required, the assistant will provide feedback via email. The applicant must revise the application form based on the Ethics Committee’s comments and resubmit it for review.
In response to the comments raised by the Ethics Committee, submit a “Revision Explanation” (Requirements: Word document format; address each issue raised point by point).
To facilitate further review, use Track Changes mode in the previously submitted version to highlight the revisions.
5. Archiving and Record-Keeping
After ethics approval is granted, the applicant must archive the relevant materials for future reference.
To ensure the validity and compliance of the ethics review, applicants must meet the following requirements:
1. Requirements for the Research Proposal
The proposal must pertain to linguistics-related research and ensure alignment with the laboratory’s research focus and scope of work.
2. Applicant Eligibility Requirements
Applicants must generally be faculty or students of Shanghai International Studies University and must possess the appropriate academic background and research capabilities.
3. Researcher Qualification Requirements
The principal investigator (or research leader) must be qualified to conduct experiments, clearly state the training received on the experimental equipment to be used in the application, and have experience operating the equipment independently.
Applicants lacking independent experience in operating the equipment must submit a written guarantee committing to complete observational training prior to formal experimentation. This guarantee must be signed by the Vice Dean responsible for research in their respective school or department and their academic advisor, who will assume responsibility for the applicant’s conduct. After obtaining approval from the laboratory’s project supervisor, applicants must complete at least 20 observation sessions and pass an assessment confirming their proficiency in independently operating the equipment before being permitted to conduct research in the laboratory.
4. Ethics Committee Meeting Schedule
In principle, the Ethics Committee holds a review meeting for ethics applications once a month. Applicants must plan their application timing in advance.
5. Application Regulations During Winter and Summer Breaks
Ethics review applications are not accepted during winter and summer breaks. Applicants must arrange their application timing reasonably to avoid affecting the progress of their research.
